Proof Photos

Log photos of the completed print job to document work quality and provide the client with visual confirmation of their order. Proof photos are linked to the order and appear on the client's tracking page.

Prerequisites

  • An active Operator or Owner account in DTFPro
  • Logged into the admin panel
  • Order with In Production, In Finishing, or Ready status

Step by Step

1. Access the Order

In the print queue or the order list, open the order for which you want to log a proof photo. Click the order number to see its full details.

2. Find the Proof Photos Section

In the order details, scroll down until you find the Proof Photos section (or Production Record).

3. Upload a Photo

  1. Click Upload Photo or drag the image file directly into the indicated area
  2. Select the photo file from your device
  3. Wait for the upload — a progress bar shows the status
  4. The photo appears in the order gallery after the upload completes

Accepted formats: JPEG, PNG
Maximum file size: 10 MB per photo

You can upload multiple photos to the same order — there is no limit on quantity.

Proof photo upload

For complete documentation of the order, capture:

  • Overview — the full print on a table or surface, showing the final result
  • Close-up — a tight shot showing color quality, line definition, and sharpness
  • Applied — the print applied to the final product, such as a t-shirt or banner (when applicable)
  • Packaged — the order packaged and ready for delivery or shipping

5. Photos on the Client's Tracking Page

After uploading, photos are automatically visible to the client on the order tracking page. The client accesses tracking via the link:

{slug}.dtfpro.com.br/track/{order-number}

The system logs an event in the order history for each photo uploaded, maintaining a complete production record.

Tips

  • Take photos in good lighting — use even natural or artificial light, avoiding strong shadows
  • Use a neutral background (white or gray) for better visualization of colors and details
  • Keep the camera steady — blurry photos make it difficult for the client to assess quality
  • Photos serve as quality proof in case of complaints — always capture before packaging
  • On a smartphone, enable HDR for better color accuracy

Common Issues

"The photo is too large to upload"

The system accepts photos up to 10 MB per file. If the photo is larger:

  • On a smartphone: go to camera settings and lower the resolution (e.g., from 48MP to 12MP)
  • On a computer: use a tool such as Paint (Windows) or Preview (Mac) to resize before uploading

"The client cannot see the proof photo"

Photos are available on the order tracking page. Confirm the client is using the correct link — the format is {slug}.dtfpro.com.br/track/{order-number}. Also verify that the upload completed (the photo must appear in the gallery within the order details).

"I uploaded the photo to the wrong order"

Contact the print shop owner — only the owner can remove photos from orders. To avoid confusion, always check the order number (#PH-XXXX) before uploading.

"The upload froze without completing"

Check your internet connection and try again. If the problem persists, reduce the photo size and try once more. Very large files may be hitting the 10 MB limit.

"The proof photos section is not showing in the order details"

The photos section is only displayed for orders with In Production, In Finishing, or Ready status. Orders in other statuses (e.g., Paid, Awaiting Review) do not have this option available yet.
