Finance

Manage incoming payments for your print shop: validate receipts submitted by clients, reject invalid payments, and track transaction history. The Finance module centralizes your entire payment flow.

Prerequisites

  • An active Owner account on DTFPro
  • Logged in to the admin panel at admin.dtfpro.com.br
  • Pix key configured under Settings → Payment

Access Finance

In the side menu, click Finance. You will see two main sections:

  • Pending Payments — receipts awaiting your validation
  • History — all recorded transactions

Payment Flow

The payment cycle for an order follows these steps:

  1. Client finalizes the order and selects a payment method (Pix, bank transfer, etc.)
  2. Client makes the payment through their bank and uploads the proof in the portal
  3. The order appears as Awaiting Validation in your finance list
  4. You verify in your bank that the amount was received
  5. You validate or reject the proof in the panel
  6. When validated, the order automatically advances to pre-check or production (according to your settings)

Validate a Payment Proof

When a client submits a proof, the order appears in the list with status Awaiting Validation.

  1. Click the order to see the details
  2. View the proof uploaded by the client (JPEG, PNG, or PDF)
  3. Confirm in your bank that the corresponding amount was received
  4. Click Validate Payment

When validated, the order status advances automatically and the client receives a notification.

Always check your bank

Before validating, check your bank statement to confirm the amount was actually received. The proof submitted by the client may have been edited.


Reject a Payment

If the proof is invalid, unreadable, or the amount is incorrect:

  1. Click the order
  2. Click Reject Payment
  3. Enter the reason for rejection (e.g., "Amount mismatch", "Unreadable proof", "Wrong Pix key")
  4. Click Confirm Rejection

The client receives a notification with the reason provided and can submit a new proof.


Accepted Payment Methods

The methods available to clients depend on what you configured under Settings → Payment:

Wallet Top-Up Requests

When a client requests a credit wallet top-up, the flow goes through the Finance module:

  1. Client creates a top-up request with the desired amount
  2. Client makes the payment (Pix) and uploads the top-up proof
  3. The request appears in the Pending Top-Ups section of Finance
  4. You validate or reject the request

Validate a Top-Up

  1. In the Pending Top-Ups section, click the request
  2. View the top-up proof submitted by the client
  3. Confirm in your bank that the amount was received
  4. Click Validate Top-Up

When validated, the balance is automatically credited to the client's wallet, already including the bonus (as configured under Settings → Wallet).

Reject a Top-Up

  1. Click the top-up request
  2. Click Reject Top-Up
  3. Enter the reason for rejection
  4. Click Confirm

The client is notified and can submit a new proof or get in touch.


View Transaction History

Use the available filters to find transactions:

Each row in the history shows: order number (e.g., #PH-0042), client, amount, payment method, date, and status.


Tips

  • Validate quickly — the faster you validate, the faster the order enters production and the happier your client will be
  • Be clear about rejection reasons — avoid vague messages like "invalid proof". Say exactly what is wrong
  • Check your statement daily — do not rely solely on the proofs submitted by clients
  • Enable notifications — set up email and WhatsApp notifications to be alerted when a new proof is submitted

Common Issues

"The client says they paid but no proof appears"

The client needs to upload the proof in the portal. Guide them to access the order at {your-shop}.dtfpro.com.br, click the order, and use the Submit Proof option.

"I validated a payment by mistake"

Validated payments advance the order in the flow and cannot be directly reversed in the panel. Contact DTFPro support for assistance.

"The proof amount is different from the order total"

Reject the payment indicating the amount mismatch. The client can resubmit the correct proof or get in touch to resolve the difference.

"The client paid via Pix but to the wrong key"

Reject the proof and guide the client to verify the correct Pix key in the order instructions. The key configured under Settings → Payment is the one shown to clients.

"I cannot view the proof in PDF format"

The PDF opens in a new browser tab. Check if your browser's pop-up blocker is preventing it from opening.
