Team Management
Invite operators to your print shop and manage team access. Operators can manage orders, production, and pre-check — without access to store settings, finance, or sensitive data.
Prerequisites
- An active Owner account on DTFPro
- Logged in to the admin panel at
admin.dtfpro.com.br
Access Team Management
In the side menu, click Team. You will see the list of members with their name, email, role, and status (active/inactive).

Invite a New Operator
- Click Invite Member in the top-right corner
- Fill in the form:
- Full name — the operator's name (e.g., "Ana Silva")
- Email — email address that will be used for login (e.g.,
ana@yourshop.com) - Password — initial access password. Set a secure password and share it with the operator
- Role — select Operator
- Click Invite
The operator can immediately log in to the panel with the registered email and password.

Password best practices
Set a strong initial password and ask the operator to change it on first login at My Account → Change Password.
Roles and Permissions
| Role | What they can do |
|---|---|
| Owner | Full access: settings, finance, team, services, production, equipment |
| Operator | Manage orders, production queue, pre-check, equipment. No access to store settings, finance, or team management |
Change a Member's Role
- In the team list, click the three dots (⋮) next to the member
- Select Change Role
- Choose the new role
- Click Save
The change takes effect immediately: the member will see their new permissions on their next login.
Deactivate a Member
When an operator leaves your team, deactivate their access without deleting the record:
- In the team list, click the three dots (⋮) next to the member
- Select Deactivate
- Confirm the action
The member loses access immediately. The full history of actions they performed is kept for traceability.
Reactivate a Member
To restore access for a deactivated member:
- In the team list, find the member (use the Inactive filter if needed)
- Click the three dots (⋮) next to the member
- Select Reactivate
Access is restored immediately with the same credentials as before.
Tips
- Create individual accounts for each operator — never share passwords, as this prevents tracking who performed each action
- Deactivate instead of delete — keeping the operator record preserves the history of who processed each order
- Onboarding — walk new operators through the panel and show them the production flow before they start working
- Multiple operators — you can have as many operators as you need; there is no limit
Common Issues
"The operator forgot their password"
In the team list, select the operator and click Reset Password. Set a new password and inform the operator.
"I need to give owner access to a co-owner"
Each shop currently has a single owner. For co-management situations, contact DTFPro support.
"I accidentally deactivated an operator"
Find the operator in the list (use the inactive filter) and click Reactivate. Access is restored immediately.
"The operator cannot see a certain menu"
Check the role assigned to them. Operators do not have access to Settings, Finance, or Team — if that access is needed, only the Owner can perform those actions.
"I want the operator to be able to view finance"
Role permissions are fixed in the system. The Finance module is exclusive to the Owner.
